Functions Terms and Conditions
Catering Details
All booked functions are required to pre order function food. Due to busy trade, we will not accept functions who wish to solely order individual bistro meals on the day. Final numbers and full payment of catering is required 14 days prior to your event. Changes to final numbers and cancellations made within 7 days of your event will incur 100% of the catering costs. A 12.5% surcharge will apply on all catering costs on public holidays. All menu options are subject to change with regards to availability and seasonality of produce.
General
The Seabreeze Hotel management has the right to refuse entry to any guest. All functions will end at 11pm unless otherwise arranged, fees will apply. Strictly no BYO alcohol or food is allowed, with the exception of cake.
Food & Beverage Policy
All booked functions are required to pre-order function food. Due to busy trade, we will not accept functions who wish to solely order individual bistro meals on the day. As we are a licensed venue we cannot allow external catering or BYO food or beverages into the venue. Cake however, is the exception to the rule. Any breakages will be charged to the function bar account or invoiced to the main booking contact.
Confirmation, Bookings & Deposits
The booking form must be signed and returned, along with the completed payment of the non-refundable booking fee to secure the date and space for your function. Your booking will not be considered confirmed and the date will not be secure until the booking form is returned and the deposit is paid. The booking fee is non refundable. Guest numbers and menu selection is required 21 days prior to your function. Final numbers and payment for catering is required 14 days prior. All other payments can be made thereafter prior to your function date. Changes to guest numbers and cancellations made within 7 days of the function will incur 100% of the catering costs. Your bar tab starting limit must be paid before your functions commencement. Any outstanding bar tabs must be paid in full at the end of night. Management reserves the right to cancel, relocate or charge for catering if minimum function area numbers are not met. Management also has the right to charge additional for extra area usage and catering if numbers exceed the agreed final numbers.
Parking
Parking is available at the venue. No responsibility is taken by The Seabreeze management for theft or damage should they occur within the customer parking.
Accommodation
A discount of 10% is offered to all function guests, bookings must be made directly with the venue by phone or email. Bookings that do not notify staff of purpose of stay or that are made online will not be discounted.
Outdoor Spaces
The Terrace, Deck and Lawns are outdoor/semi outdoor spaces and are weather dependent. All efforts will be made to re-locate your event should the weather be inclement. Refunds will not be deducted.
Set Up & Pack Up
All function spaces are as is, all current furniture will remain in place for events unless otherwise agreed and arranged by management. If you require our staff to add, swap or change any furniture, set up table arrangements, balloons or any other form of decoration or form of set up a $60 per hour fee will apply. Setup and decorating for The Boathouse, Deck and Terrace can not be completed prior to 3pm unless otherwise agreed and arranged by management. Access to The Pacific Room is from 9:00am the day of your function. However, the room can be booked for set up purposes prior to your function, subject to availability for $100 per day. All external items/decorations/property must be removed from the space at the completion of the event, fees will apply to remove any remaining items/decorations/property.
Entertainment
Music will be provided by our in-house system only. Alternative entertainment (bands, soloists, DJ’s etc) must be pre-approved by management. No function is allowed to bring their own speaker for music as our venue has noise restrictions in place that need to be followed.
Courtesy Bus
A courtesy bus is available for function guests for pick up or drop off in the Mackay Region. This will need to be confirmed and finalised with the times and locations one week out from your function date.
External Planners & Decorators
All external planners and decorators must be approved by the management team at Seabreeze Hotel prior to your function.

The person that signs and complete the Booking Form along with the Terms and Conditions is who Seabreeze Hotel will be contacting in regard to the function. Unless agreed otherwise, the planners that the guests have arranged to plan their function will not be the point of contact from Seabreeze Staff.
Kids & Playground
As a family friendly venue, children can remain on the premises until 10pm and must be are supervised at all times by a responsible adult. Seabreeze staff are not responsible for supervising children and if a child is found doing something wrong or in an area that they are not permitted to be in, parents/guardians will be held responsible and actions will be taken by management according to the severity of the error undertaken. The Playground area cannot be hired exclusively. Functions are welcome to use the playground area for invited kids however, please be aware that as a public space, other kids and parents from the Mackay community will be using the area as well. Functions must be aware that if they wish to screen a movie in the playground area, hire a jumping castle or face painter etc. other kids from the community will want to use these facilities as well if no supervision or action is taken.
Public Holidays
A 12.5% surcharge will apply to all room hire cost and catering costs for events held on public holidays. Due to Public Holidays being busy for bistro trading, chosen function food will have to be approved by management as there will be limited options for functions to chose from in regards to the menus.
Decorations
Functions are to confirm a time they would like to come in to decorate their hired space, prior to the function day. Unless agreed and spoken on with the Seabreeze Hotel Function Staff, all items of decorations from a function will be discarded if they are left behind once all guests leave the venue. These items may include however are not limited to: balloons, wedding bouquets, flowers, signs, photo props, etc. If it is agreed on by both parties, the venue will hold the items in a stored area until the collection date that is agreed upon, generally the following day after function. Seabreeze Hotel do not take any responsibility for the damage or misuse of decorations from a function.
Disclaimer
All quoted prices are valid until the end of the current calendar year or until the new packs are released. The Seabreeze Hotel has the right to update and adjust pricing as required. Clients of functions that booked prior to these changes will be required to read and sign each updated pack to ensure they understand and agree to changes of the new pack. If the release of the new packs comes within a bookings confirmation time frame of 21 days, Seabreeze Hotel is happy to discuss holding the agreements of the old pack.
Seabreeze Hotel reserves the right to change pricing, details & inclusions at any time. All prices stated in this document are as of 2024 prices, and can be changed for any reason as required.
